OVERVIEW

Operations Specialist, Licensing and Esports

 

Position Summary

- The principal responsibility of the Operations Specialist, Licensing and Esports is to provide full-scope administrative contract support to the Licensing and Esports teams.  The role assists in the execution of the Capcom’s internal Licensing and Esports business practices, processes and policies. This role provides timely and professional support to the Head of the Licensing and Esports and teams.

 

- The Role is responsible for coordinating and performing the key and critical administrative functions to ensure that Capcom’s Licensing and Esports departments are operating efficiently and in compliance with internal processes.  Responsibilities include, but are not limited to prioritizing and scheduling contract and purchasing work flow and execution processes, scheduling internal and external meeting coordination, travel logistics, expense approvals, and assisting in facilitating effective contract and vendor management.

RESPONSIBILITIES

Essential Functions & Responsibilities

  • Scheduling internal and external meetings as required
  • Preparing and submitting purchase requests, travel and expense requests
  • Assists the Licensing Operation Manager with coordinating the Green Light process including scheduling green light meetings, preparing and distributing materials, taking and distributing minutes
  • Assists in facilitating the contract and purchasing processes
    • Prepares and submits NDA’s to the Legal department for approval and signature
    • Submits new licensee credit application to accounting for review and evaluation. 
    • Process and submits approved deals thru legal intake and follow-up / track agreements
    • Prepares and processes deal memos
    • Tracks, coordinates and processes licensing and esports related invoices with the Finance and Accounting departments
    • Ensures payment of invoices
    • Process and submit department expense reports
  • Participates in the planning and organizing of trade shows and licensing summits which includes scheduling meetings, processing applications and payments, arranging equipment and materials, set-up, tear-down and booth participation
  • Attends business meetings and takes and distributes meeting notes and action items
  • Maintains the Licensee/Partner contact database
  • Maintains subscriptions and memberships to relevant organizations and publications including distribution of subscriptions to Licensing Staff.
  • Routes Press Releases through the Legal and PR approval process
  • Mail and shipping (arranging and tracking of shipments and deliveries)
  • Other duties as assigned

REQUIREMENTS

Knowledge, Skills and Abilities

  • Excellent written and verbal communication skills
  • Strong organizational skills, detail oriented and ability to self-start
  • Ability to handle multiple projects and priorities
  • Experience and understanding of the licensing process
  • Resourceful and adaptable in meeting goals

Minimum Requirements

 

Education and Experience

  • Bachelor’s degree preferred, but not necessary
  • Requires a minimum of 1 year experience in key administrative or coordination role, ideally within the entertainment or licensing industries
  • Proficient in office software applications such as MS Word, MS Excel and Powerpoint.
